Bean Counters Erin Hills (“the firm”) was founded on professional principles of integrity and one of these principles to safeguard personal information of their customers (“You/Yours”). The firm follows the requirements of Canadian Privacy Law stipulated in Personal Information Protection and Electronic Documents Act (PIPEDA), The Freedom of Information and Protection of Privacy Act (FIPPA) and the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA) acts.

The firm is committed to protecting and safeguarding the privacy of Your personal and financial information. For this reason, the firm has created the following privacy policy which governs all the firms’ internal procedures and operational tools that are used to collect Your personal information.

Definition of Personal Information under PIPEDA

Under PIPEDA, personal information includes any factual or subjective information, recorded or not, about an identifiable individual. This includes information in any form, such as:

age, name, ID numbers, income, ethnic origin, or blood type;
opinions, evaluations, comments, social status, or disciplinary actions; and
employee files, credit records, loan records, medical records, existence of a dispute between a consumer and a merchant, intentions (for example, to acquire goods or services, or change jobs).

PIPEDA does not consider business information as personal information. Personal information is excluded from the name, title, contact information that identifies a person in a business, professional or official capacity including a business carried out in a home. Personal information is excluded from the address unless it is purposefully protected by a law institution or when the specific property reveals something personal.

Accountability

The firm is accountable for all personal information in its possession, including any personal information disclosed to third parties. Third parties are involved in administrative functions involved in delivering the services to You based on the agreement between You and the firm. Your data may be stored in the third party’s database which is not in our control. You assume the risks of holding your data with the third party entities with your consent. The firm utilizes only those third parties which are considered reputable in the economy for following privacy policies like PIPEDA. Any third party that the firm uses for the service provisions must adhere to the privacy policy. For the service provisions to minimize these risks, the firm offers to use technologies which are only utilizing the internal technologies with the full control for protecting Your private information.

Identifying Purposes

The firm collects personal information to provide the services requested by You including:

Preparation of taxes
Preparation of financial statements
Business advisory
Managing Your accounting books
Managing Your employees’ records
Marketing purposes to increase the firm’s competition on the market

For the marketing purposes the firm is utilizing third party tools to capture aggregate information which is not Your personal information. The firm is also running campaigns to offer discounts and new services with Your consent to retrieve such communication with the firm. With each communication the firm provides the Unsubscribe option. To run campaigns through emails the firm stores Your email and name information internally without involvement of any third party.

Consent

The firm is asking for consent from You to store Your name and email address for marketing purposes. The firm is also asking for consent from You to store and send Your personal information for accounting and tax purposes. To cancel retrieving marketing ads, You any unsubscribe anytime from the firm’s emailing list. However, Your accounting and tax information may be stored with the firm for the government reporting even if You will decide not to be the firm’s customer.

Limiting Collection

Collection and storage of Your personal information will be limited to those necessary to deliver the service agreed with You and The Firm and lawfully identify for the purpose of the collection.

Limiting Use, Disclosure and Retention

The firm may use or disclose Your personal information only for the purpose of service delivery agreed between You and the firm. The firm keeps Your personal information only as long as it is needed for the service provision. The firm established internal sets of guidelines and procedures to protect Your personal information while it is in retention. After retention is terminated, the firm destroys your personal information with no chance of its restoration.

Accuracy

The firm commits to store Your personal information accurate, complete, and relevant to the purposes for which it is to be used. The firm installed sets of procedures to remind You about possible changes to Your personal information and promptly update with any of those changes to maintain accuracy of keeping Your personal information.

Safeguards

The firm explains how Your personal information is handled with the firm in the Service Agreement between You and the firm. The firm is responsible for notifying You about changes to Security Policy at any time when changes are made.

Openness

Individual Access

You have a right to access Your personal information, challenge the accuracy and completeness of the information, and have that information modified if necessary. The firm is responsible to explain all the details how Your personal information was obtained and where it was used including the third parties usage.

Challenging Compliance
